The first step is to switch the File and Switch to Single-User Mode.

And then, go to the QuickBooks File menu, choose a Backup Company, and then Create a Local Backup.

Once you create a Backup Window on your screen, click on the Local Backup Advertisement option.

After the Backup Options window pops up on your screen, click Browse and choose a location to store the backup copy.

Skipping this step can speed up the backup process, but it is advisable to enable it so that you get an alert when damage is detected in the file. The following are your options:

Complete verification (Recommended)

Quicker verification

No verification

If I save it now and schedule a future backup or only a later schedule to save the file backup when you close your file, then when I close my company’s file box, automatically Click the Save the backup checkbox. You can also decide the frequency of closing QuickBooks before you are prompted to create a backup.

You can also choose to detail your schedule, specify a location to backup, and set the day and time when you want to backup.

Formerly the process is over, click OK and then Finish.

QuickBooks will generate a backup and schedule your future backups at the same time.

Step 2: Manually backing up the company file

If the user is comfortable with manually backing up the company file, in that case the following steps can be taken.

To get started, go to the File menu in QuickBooks, and then choose Single-User Mode.

After that, go to the File menu once again and then go to the backup company. In addition, select the option of Create Local Backup.

The next step is to select the local backup option in the window and then press Next.

Moving forward, the user must click Browse in the Local Backup Only section, followed by selecting the location to save the backup company file.

After that, determine the number of backups that the user can keep. It should be well known that this step is not a compulsion.

The user is recommended to set a backup reminder using the Options in the Online and Local Backup section.

Now, the user needs to run a test to ensure that the backup file is in good condition before saving.

And then, press to click on the OK button.

The user then needs to choose the Save it now option, with the next option next.

Steps to adjust backup settings in QuickBooks

If the user wants to find out when he has backed up the company file, in that case, go to the File menu and then the Back Up Company option. Thereafter, the user will see the time and date at the top of the menu.

If the user wants to change backup preferences, the steps below may work well:

First, select the File and go to the backup company. Then proceed to click on Create Local Backup.

The upcoming step is to select Options.

And to finish the process the user needs to make changes and hit the OK button.

Steps to restore backup settings in QuickBooks

Now that the user has a backup of the company file, the user can use QuickBooks to restore the company file. It should be noted that this file has a .qbb extension at the end of the filename. The point to note here is that if the user places the backup company’s files on an external device or hosting service like Box, the user will need to move them to a local hard drive before restoring.

When to use Quicken Converter

You should only use the Quicken converter if you need to migrate from a Quicken Version that is not an equal version of your QuickBooks Desktop.

If you want then you can avoid using the Quicken Converter and convert directly to QuickBooks using the Conversion Utility if you have a version of Quicken that is the equal version of Quickbooks Desktop.

Quicken for Mac: The Quicken converter and the conversion utility in QuickBooks Desktop will not be able to convert Quicken for Mac data file. If you are using Quicken for Mac, then you need to convert your data file first to Quicken for Windows or create a new QuickBooks company file instead.

Convert from Quicken to QuickBooks

Use the Quicken Converter

You need to make sure before using this tool that you don’t have installed another version of it. If you do then first you need to uninstall it from your computer and download the suitable one that we have mentioned below:

You should download the version of the converter tool that is suitable for your QuickBooks Desktop.

Quicken 2021 Converter Tool

Quicken 2020 Converter Tool

Quicken 2019 Converter Tool

Quicken 2018 Converter Tool

Then you need to Install and then start convert.

First your need to launch the downloaded Quicken Converter and then choose Next.

Then you need to select I Accept the terms in the license agreement and then choose next.

Now you need to select Next and then choose to Install to start the installation process of the Quicken Converter.

Then you need to launch the Quicken converter and then press finish.

Now select the option I am transferring data from Quicken for Windows and then choose to get started.

And then select Open the data file saved on this computer and then select the file.

Then check the Quicken file (.QDF) to select and then press ok.

Then you need to select the option to convert it and then select OK.

Then select the Save option to save your new Quicken Data File (.QDF) file and then save it and select Exit.

If You have upgraded your file to a required version of Quicken then you can start converting the files by using Conversion Utility in QuickBooks.

Look for .QDF, not .QFX

Although the tool is showing that it is creating a .QFX file which will not be able to use for conversion. A .QDF file is also created by this tool which you have to convert. Then look for the update .QDF file in a folder with the name Q18Files or Q17Files, which is placed in the same location where you have your original Quicken file. Also the .QDF file saved with the same name as your original Quicken file.

Use the Conversion Utility

We have discussed the steps to convert your Quicken file by using the Conversion Utility in Quickbooks Desktop.

First of all, you need to go to the File and then Utility after that Convert and then select From Quicken.

Then You need to select the Quicken file (.QDF) that you need to convert.

The conversion Utility will guide you by the rest of the conversion.

If you require more detail about the Conversion Utility, press F1 to access the Help window in your QuickBooks Desktop and type convert from Quicken.

QuickBooks is the most popular accounting software available in online as well as offline versions. It will help the organization with no internet connection. But if you want to move your QuickBooks Desktop file to QuickBooks Online, we will discuss here the procedure to do it easily.

We are given below 3 steps of how you can move your QuickBooks Desktop file to QuickBooks Online:

Step 1: Get your desktop file ready

Note:

Always remember that you will be able to move your company file within 60 days after signing up to QuickBooks Online.

If your payroll setup has been done in QuickBooks online then you can move your lists instead of your company file.

Maybe some of your lists and reports will not move due to feature differences.

You need to make sure that the Quickbooks is up-to-date.

Also, you need to check your company files that should be within the limit to export.

Step 2: How to Import your desktop file to QuickBooks Online

Note: First you have to use a trial version to move your file if you are currently using the previous version of 2018

QuickBooks Desktop Pro or Premier

You need to first sign in as an admin to the company file that you want to import.

Then from the company menu, you need to select the Export Company file to Quickbooks Online.

Then press on Start your export.

Now you need to sign in as an admin to your Quickbooks Online company.

If you need to track inventory in QuickBooks Desktop:

Then you need to select Yes to bring them over, and then enter the current date.

And choose the option No when you want to set up new items later in QuickBooks online.

Remember that only QuickBooks Online Plus and Advanced will be able to track inventory. Both plans will use the FIFO method also.

You need to select the option Choose an online company from the list and choose the QuickBooks Online company that you want to be replaced by your company file.

Then press Continue.

Here you need to enter Agree in the text box and then select replace.

Then choose Yes and to replace the data and then select replace.

QuickBooks Desktop Enterprise

Are you using Enterprise’s advanced features?

If you are using an advanced feature (like advanced reporting and advanced inventory) then we will suggest you start with fresh as some of your data will not be converted.

If you are looking to use these features in the enterprise, you should have to learn about cloud-enabled Quickbooks Desktop Enterprise. Or you need to switch to QuickBooks Online Advanced which is a powerful tool like smart reporting and accelerate invoicing.

Deep dive into QuickBooks Online Advanced features will sue our test company.

First, you need to sign in as an admin to the company file which you want to import.

Then press Ctrl+1 on your keyboard to open the product information window.

Now you need to press Ctrl+B+Q and then choose OK.

Then from the Export window, you need to select Start your export.

Now you need to sign in to your QuickBooks Online company.

If you want to track inventory in QuickBooks Desktop:

Then choose an option, Yes to take them over and then enter the current date.

Select option No If you need to set up a new item later in QuickBooks online.

Note: You should remember that only QuickBooks Online Plus and Advanced will be able to track inventory. And these plans only use the FIFO method.

Then from the dropdown, you need to select the online company and then choose the QuickBooks Online company that you have to replace with your company file.

Then you need to choose Continue.

Here you need to enter Agree in the text box and then choose to replace it.

Then Choose the Yes option and to replace the data you need to select Replace it.

Step 3: Make sure your books match

You can work with one of your financial reports to check if the import process is done successfully.

You need to run a report like profit and loss on the accrual basis in QuickBooks Desktop.

Also, you can run the same report on an accrual basis in QuickBooks Online.

Now if your reports are matched then you can start with the QuickBooks Online and if reports are not matching then you can follow the below steps:

You need to check this guide again to know what was wrong with the data when you tried to move it from QuickBooks Desktop to the online version.

If you are still facing any issue with your reports then you should contact professional, who can help you to resolve the issue.

Winding Up!!

In this article we have mentioned all the steps to move your QuickBooks Desktop file to QuickBooks Online in detail with simple words, so you can understand it easily. Now you can apply it with your Quickbooks with any professional’s help.

QuickBooks File Doctor is the most important tool which is designed to recover your damaged company file and it will help you to recover some of your network issues also. You can review the results you will get from using the File Doctor to see how to resolve the issue. Each of the test results has a section that describes it in detail, along with resources to help to resolve network issues with QuickBooks File Doctor test results.

If your Hosting Mode is Off

You should keep your hosting always turn on to get access to the QuickBooks Files over a network and resolve issues with QuickBooks File Doctor.

Turn on Hosting:

About hosting QuickBooks company data files in multi-user mode

Hosting means to allow another computer or workstations to get access to the file from the main computer, where the company files are saved.

We have mentioned below the services that QuickBooks Desktop uses to manage company file access:

QuickBooks Desktop 2020 uses service QuickBooksDB30

QuickBooks Desktop 2019 uses service QuickBooksDB29

QuickBooks Desktop 2018 uses service QuickBooksDB28

Now check your Windows Control Panel, here you will see this service in Use Account, in the Users option for this computer. You need to check for the service that compatible with your version of QuickBooks Desktop to resolve network issues with QuickBooks File Doctor.

We have mentioned below all the QuickBooks hosting modes.

Dedicated hosting diagram

Peer to peer hosting diagram

Alternate hosting diagram

How company files are accessed

You need to meet the below conditions to access the company file:

Windows File permissions: It is necessary to have permissions set to Full control with the user who logged in, which will give you permission to look at, open, and modify the file.

Database Server mode: In the database server mode you can successfully open the company file.

QuickBooks User login: Each user should have a QuickBooks user login and password.

Hosting modes

This hosting set for each version of QuickBooks Desktop and for each computer. This feature is not for company files or the QuickBooks Installation. If you are using multiple versions of QuickBooks 2018 or the latest one then the hosting mode setting for each version will be independent.

There are three types of hosting modes available:’

Not Hosting (also known as Hosting Off)

In this hosting mode, the database manager will work as normal as a windows user using QuickBooks.

This hosting Mode can not support multi-user mode, It uses shared memory to connect with QuickBooks. In this mode, the user who is using QuickBooks on a local computer can use the database server to access the file.

Hosting Local Files only

In this hosting QuickBooks, Database Server Manager will work as a Windows service named with QuickBooksDBXX and as the windows user QBDataServiceUserXX.

The service QuickBooksDBXX will be in On condition till your system is on.

In this mode, you get the advantage of multi-user mode, using TCP/IP to connect with QuickBooks. The QuickBooks user with a remote computer will be able to get access to company files using the database server that is working in Hosting local files only mode.

A system with this hosting mode can host those files that are placed on that computer.

Hosting Local & Remote files

In this hosting QuickBooks Database Manager works like a normal process, as you are working on windows. This hosting will start working when you will log in to windows and stop when you logout.

A system with this hosting will be able to support multi-user mode, by using TCP/IP to connect with QuickBooks. The QuickBooks use who has remote computers can get access to the company file on this computer by using a database server.

A local computer with Hosting Local & Remote files mode can host files saved in it along with the files that are placed on a remote system and opened on the local system.

How does QuickBooks Desktop determine which database server to communicate with?

QuickBooks Desktop always searches for the .nd file. The .nd file is a very small text file saved with the same name as the company file, but with the .nd file extension. You will get this file in the same directory as the company file, which has the file extension .qbw. The directory also keeps the information required to contact the server, such as the IP address and port.

QuickBooks Desktop can determine if the .qbw file is working or not.

If QuickBooks Desktop found the .nd file and detects that the company file is working then QuickBooks will try to connect with the server.

If it is successfully done then Quickbooks will open the company file.

If it is not done successfully then you get an error message that describes the steps you need to solve the issue.

The Folder containing the file is not writable or is not shared

You need to make sure that the folder having the company file should be shared with other users.

No network connectivity

There should be at least one working TCP/IP adapter and then the host-name of the local machine resolvable.

Run IPConfig

You will find the IPConfig tool very useful in verifying the TCP/IP configuration on the computer. This will helps you to solve the problem by using QuickBooks on a network.

We have mentioned the most common IPConfig commands below:

Command

Description

ipconfig

You will get basic TCP/IP information

ipconfig /all

It is for detailed TCP/IP information

ipconfig /renew

To renew the IPv4 address for all network adapters

ipconfig /release

To release the IPv4 address for all network adapters

To run ipconfig:

First you need to select the Windows Start button.

Then you need to enter CMD in search field.

Then choose the Command Prompt in the result showing on the screen.

Now at the command prompt you need to enter ipconfig and then press Enter.

Network problem: If IP reverse lookup has failed.

You need to make sure that if your windows can produce an IP address from a host-name and reverse the process.

IF QBCFMonitorService/QBDBMgrN not working properly or Firewall is Blocking QuickBooks

You can encounter the issues if your firewall block the internet access required for the specific QuickBooks programs or files. If you are updating your firewall to the latest release will help you to resolve the issue or you will require manually configure exceptions and ports needed for your firewall software.

If QBCFMonitor Service is not running:

First, you need to configure your firewall to open the 8019 port for the tool as well as QuickBooks applications on the client and server.

You should make sure that the server hosting is turn on.

You need to ping the server. It should be successful from the client and the server.

If QBDBMgrN is not running:

First of all you need to configure your firewall to open the Dynamic database port for the QuickBooks File doctor, and entire application of QuickBooks. You should configure your firewall on all client computers and server.

You need to make sure that your hosting is turn on on the server.

Make sure that you will be able to ping the server with iP as well as hostname on the server and all client computers.

[Firewall software] is Active can be blocking QuickBooks:

If you have found any third party firewall then it should be listed here. You need to configure the firewall exceptions for your QuickBooks version.

QuickBooks Enterprise Solutions
