How to send journal entries from an accountant in QuickBooks Desktop:

Here we are going to discuss how you can send journal entries from accountants in QuickBooks Desktop. So there are 2 situations you can face while sending the journal entries from the accountant:

Situation 1: In the situation, if you have any existing  journal entries :

  • First of all, you need to go to the accountant menu then click on send journal entries from options.
  • Now you get 2 options to fill the dates: A. Choose the date from the list, B. Fill the column of From and To dates to get filtered results.
  • Press next to go for journal entries and mark the entries that you want to send.
  • If you want to edit the journal entries then you can do it before sending them, however, it is optional:
    •   Choose the link you can see in the Accountant column.
    •    Now you need to update and edit the entry in Make journal entries.
    •   Then click on save and close it.
  • If you have to check and verify that your recipient has imported all the Journal entries then unmark and allow the recipient to select which recipient GJEs to post to the file box.
  • Now you can send it to the recipient whom you want:
    • Go to the Email as an Attachment to send the journal entry file.
    • If you want to save as a .QBJ file that you can attach yourself with the email, then choose Save as file option.

Situation 2: In the situation, if you don’t have any existing journal entries :

  • First, you need to go to the accountant menu and select Make General Journal Entries
  • Now enter a new journal entry and click on save.
  • You need to select to send GJEs.
  • This is an optional step that if you want to edit any journal entry then you can do here only before sending the file.
    • Click on the link given in the account column.
    • Now you can update the entry whatever you want in the Make General Journal Entries option.
    • Then click on save and close.
  • Now unmark and permit the recipient to select which recipient GJEs to post to the file box if you are willing to verify that your recipient imports all the journal entries file.
  • Now you can the journal entries file to the recipient:
    • Click on Email as Attachment to send journal Entries file now.
    • If you want to attach the file by yourself then save it as a .QBJ file and select on save as file option.

Process of how to import journal entries from your QuickBooks Desktop accountant:

  • Your accountant sent you the journal entry via email, then you need to download the attached file with the name of the QBJ file.
  • Save this file in a folder that you can access quickly. You can save it on your desktop also.
  • Now you need to open this company file in QuickBooks Desktop.
  • Select Utilities from the file menu then import the file. Now select journal entries.
  • You need to check and choose the QuickBooks Journal file where you saved it.
  • You can see now all the journal entries you got from your accountant, On the add  Journal Entries window. And then you can unmark the entries that you don’t want to add to your company file. Ensure your accountant knows about it. Please note if you are not able to unmark all the files then it means that your accountant wants you to add all the journal entries to your records. 
  • Now Select Add Journal Entries then finally press OK.
